Completion is more than a status
Changing a load to “completed” is only one part of closing the operational record. Depending on the agreement and shipment, the accounting team may need signed delivery documents, accessorial details and confirmed references before generating an invoice.
A simple review sequence
- Confirm delivery: verify the final appointment and delivery outcome.
- Check documents: make sure required paperwork is attached and legible.
- Review exceptions: record detention, extra stops or other changes that need approval.
- Reconcile references: confirm customer, broker and load identifiers.
- Prepare billing: pass the final, approved record to the person handling invoices.
Keep dispatch and finance permissions distinct
A dispatcher may need to update load status without viewing every invoice or payment. Accounting staff may need the final shipment record without permission to change dispatch assignments. Role-based access should reflect these different responsibilities.
Use software as a consistent record
Teams benefit when the operational and financial records reference the same shipment. Before automating invoice creation, verify that the underlying completion rules and document requirements have been tested with real workflows.
