Organizing Truck and Trailer Records for a Growing Fleet

Start with a consistent equipment identifier

Every truck and trailer should have a stable internal unit number. Record the VIN, plate, relevant registration dates and the company responsible for the unit. Make sure dispatch and maintenance staff refer to the same equipment identifier.

Separate essential record types

  • Identity: unit number, VIN, model and registration.
  • Availability: active, out of service or unavailable for assignment.
  • Service history: completed repairs, inspection findings and supporting documents.
  • Upcoming work: scheduled inspections, routine service and open defects.
  • Operational notes: equipment-specific limitations that dispatch needs to know.

Make updates accountable

Assign responsibility for maintaining each part of the record. A dispatcher may need to view availability, while a maintenance supervisor needs to update repair records. Avoid granting broader editing privileges than a role actually requires.

Review data regularly

Even well-designed software cannot correct information that nobody updates. Periodic fleet record checks help identify missing documents, stale unit status and work orders that have not been closed.

RigHub TMS includes equipment-related areas; feature availability and the completeness of individual workflows can be reviewed through a product demonstration.
